About the Role:

The Facilities Coordinator will serve to support the Manager, Real Estate Operations, in all facilities and property management needs across Cityblock’s real estate portfolio. The Coordinator works to ensure lease obligatory maintenance items are scheduled and completed in a timely manner, proper communication is delivered to stakeholders, resolution of ad-hoc maintenance requests, and raises dependencies and flags to the managers and stakeholders accordingly. The Coordinator is also responsible for appropriate vetting of external vendors. The associate often flexes between a point of contact between landlords, vendors, and provides administrative support to the manager with regard to updating trackers, consolidating data, brief documentation support and more.

The ideal candidate is hungry to learn and advance in their career in an operational function which will be focused on facilities management from end to end to help support Cityblock’s mission. An interest in real estate and facilities is nice to have but not required for this role.

Essential job responsibilities:

  • Owner and primary agent of facilities management ticketing system

  • Ensure daily ad-hoc and lease obligatory items are scheduled and completed in a timely manner including all maintenance and repairs for building systems and appliances

  • Appropriate tracking and proactive outreach to vendors to comply with preventative maintenance activities

  • Proper vetting of vendors including obtaining certificates of insurance for any third party vendor and submission of contracts for internal legal review

  • High level of organization to manage third party vendors including appropriate filing of documentation and work orders

  • Regular review and reporting of repair and maintenance costs

  • Regular, effective cross functional communication

  • Build relationships with stakeholders to build trust and credibility

  • Understand Cityblock’s real estate needs as the organization grows and how facilities management can support market operations

  • Provide support with special projects and preparation of various memorandums, documentation, and briefs for company approval

  • Triage urgent and non-urgent requests timely

  • On call availability to respond to emergency requests as needed

Requirements for the Role:

  • Bachelor’s degree

  • 1-3 years of experience in facilities or property management preferred

  • High level of organization and attention to detail

  • Strong oral and written communication skills

We take into account an individual’s qualifications, skillset, and experience in determining final salary. This role is eligible for health insurance, life insurance, retirement benefits, participation in the company’s equity program, paid time off, including vacation and sick leave. The actual offer will be at the company’s sole discretion and determined by relevant business considerations, including the final candidate’s qualifications, years of experience, skillset, and geographic location. The expected salary range for this position is:

$66,011 - $75,000
