Role Overview:
As the Workplace Experience Coordinator, you are the heartbeat of our NYC headquarters. You’ll own the vendor relationships and day-to-day office operations and play a leading role in shaping the in-office experience, from team lunches and celebrations to the small details that make Materialize a place people genuinely enjoy coming into. You’ll also serve as the on-site point person for light IT needs, helping employees get unblocked quickly on common issues and partnering with our IT team on anything more complex. This role is ideal for someone who is warm, organized, and energized by creating moments that bring an organization together.
This role is based in our NYC office near Astor Place, on-site 5 days per week from 9:00am-1:30pm ET.
Responsibilities:
Own day-to-day operations of the NYC office, including supplies, pantry, mail, conference rooms, and shared spaces
Manage relationships with building management, caterers, and office vendors; track and reconcile office expenses in Ramp
Greet and host employees, candidates, and visitors; manage building access and the visitor log
Lead office culture and employee engagement initiatives including team lunches, celebrations, milestones, holiday moments, and in-office programming that reinforce our values
Help plan and execute office events,on-sites, and team gatherings end-to-end, from venue and vendor coordination to set-up and breakdown
Partner with People new hire onboarding logistics, including desk setup, swag, and a warm day-one welcome
Provide light IT support: greet new hires with their laptop, help with basic setup, troubleshoot common issues (Wi-Fi, printers, conference room AV, Zoom), and route anything more complex to the IT team
Help run AV setup for all-hands and on-site events
Surface ideas and feedback on how to keep improving the in-office experience as the team grows
What We’re Looking For:
2+ years of experience in office coordination, administrative support, hospitality, or a similar people-facing role
A warm, professional communication style and a genuine customer-service mindset toward employees and visitors
Tech-comfortable: confident with Google Workspace, Slack, and Zoom, and able to help teammates with everyday tech hiccups
Strong organizational skills and attention to detail; able to juggle competing priorities without dropping balls
Creativity and enthusiasm for planning events, celebrations, and culture moments that bring people together
Proactive and resourceful; comfortable owning ambiguous problems end-to-end in a fast-growing startup
Ability to work on-site 5 days per week and lift up to 30 pounds for event setup and equipment moves
Experience supporting laptops on macOS and/or Windows is a plus

Comp: $30.00 - $40.00 per hour
