Responsibilities

We are looking for an exceptional Administrative Business Partner, Japan to join our growing team. In this role, you will be involved in providing support to our Leadership team in Japan and partner with the Japan Team in assisting with various activities in a fast growing organization. This person will serve as a resource for the Japan Leadership team in keeping their schedules aligned while simultaneously liaising with the teams to ensure that projects, meetings, and questions are being addressed. The ideal candidate will be responsive, positive, and willing to jump in and assist wherever needed.

In this role, you will also be responsible to:

  • Managing and acting as a gatekeeper for daily calendars - solving complex scheduling situations in an efficient and collaborative manner

  • Communicating on behalf of the Japan Leadership team both internally and externally including customers and executive staff

  • Organizing internal and external meetings, events, and activities for the region to ensure teams, customers, and partners feel engaged both in person and remotely

  • Executing special projects by partnering with cross-functional teams and and Administrative Business Partners (ABPs) and Executive Business Partners (EBPs) while managing deadline pressures and communicating proactive updates

  • Manage and establish vendor relationships in line with our Procurement policy in the country including ground transportation, promotional vendors, printing, etc.

  • Building strong relationships with the Japan Leadership team and departments to establish and maintain credibility, trust, and confidence within the organization as the local point of contact

  • Managing Japan office where it’s related to usage, access, future planning, etc.

Requirements

Qualifications / Experience / Technical Skills

  • Minimum of 3 years experience as an Administrative Assistant/Administrative Business Partner

  • Ability to speak and write English and Japanese fluently

  • Experience using Google Suite and Mac a plus

  • Knowledge of software and tools such as Coupa, Navan, and Smartsheet a plus

  • BA/BS degree or equivalent experience

  • Experience working with Customer Success and Sales teams a plus
